The goal of the VHS Band Program is to put on a superior musical performance every time the band takes the stage or the field. The Band Boosters maintain a very large budget to run the band program all year with this goal in mind. The Band Booster budget covers items such as music, equipment, professional instruction, transportation, competition registrations, maintenance of instruments, uniforms, etc.

 

As part of an extensive fundraising program, each band member is required to contribute a “Fair Share” to help supplement the Band Boosters budget. This year there will be two parts to the “Fair Share” and they are as follows:

 

1.        A fund raising contribution. It is highly encouraged that each band student participates in the numerous individual fundraisers to pay down this part of the “Fair Share”.

 

2.       A volunteer contribution. Each band family will be required to volunteer a certain number of hours to complete this portion of the “Fair Share”. Families that do not complete these hours by April 2, 2012 will need to pay $10.00 per leftover hour to make up the difference.

 

Here is a breakdown of the Fair Share for the 2011-2012 school year:

AN EXPLANATION OF THE FAMILY VOLUNTEER CONTRIBUTION

 

            The band participates in many activities throughout the school year. These activities include, but are not limited to, marching band camp, football games, parades, trips, concerts, and on and off-campus fundraisers. It takes a tremendous amount of parent volunteer hours to make all of these events successful and safe for the students. One of the biggest activities the boosters do to raise money is run concession stands for home football games, all sports that take place in the gym and several events in the area. Volunteer opportunities are also available to chaperone, maintain marching band uniforms, help with the annual Rolling Thunder Car Show and many more.

 

This year, as part of the Fair Share program, each band family will be required to volunteer a minimum of 15 hours for marching band students and 5 hours for class-only band students. The deadline to complete these volunteer hours will be April 2, 2012. If a family has not completed all of their hours, they will be required to contribute $10.00 per remaining hour to complete their required hours.

 

Guidelines for completing volunteer hours are as follows:

 

1.       All volunteers must be PALS approved. This can be done at any Sarasota County School front office or at The Landings in Sarasota.

2.       All volunteer hours must be coordinated and logged through the Band Booster Volunteer Coordinator.

3.       Any band student’s family members may contribute to the 15 volunteer hours, so long as they are PALS approved.

4.       Fair Share is assessed for each student. If a family has more than one student in the band, then they will need to do 15 hours per student.

5.       Chaperoning for a spring trip will not count towards the 15 volunteer hours.

 

Volunteer Incentive program

2011-2012

Because volunteering is such a critical need for the Venice High School Band Program, there is going to be an incentive for families to volunteer. It will be a multi-tiered system.

 

     

    Tier 1                 15 Hours         Required for 2011-2012 Fair Share.

 

      Tier 2              135 Hours       Band Student will get $200.00 credit towards the cost of this year’s

                                                      spring trip.***

                                                     

      Tier 3               300 Hours      Band student will have his/her fund raising portion of the Fair Share

                                                      covered by the Band Boosters.        

 

      Tier 4              500 hours        Band student will have half of his/her spring trip paid for by the Band

                                                      Boosters.***

 

Tier 5                700 Hours     Band Student will have their entire spring trip paid for by the Band Boosters.***

 

 

***In order to receive credit for the spring trip, volunteer hours must be registered by April 2, 2012.

 

Methods of making Fair Share Payments

1.       Cash

2.       Check made out to the VHS Band Boosters

3.       Individual Account Withdrawal.

TYPES OF FUNDRAISING

 

There will be an extensive fundraising program in order to raise money for the band. The two types of fundraisers are General Fundraisers and Individual Account Fundraisers. The following is an explanation of each type of fundraiser:

 

General Fundraiser

The purpose of a general fundraiser is to raise money for the Band Booster general fund. This money is used to fund the operating budget used by the Boosters to run the band program all year. Types of general fundraisers include football concessions, gym concessions and the annual Rolling Thunder Car Show.

 

Individual Account Fundraiser

Each student in the band program has an individual account, much like a bank account with no interest. Each time an individual account fundraiser is done, every participating student will have money deposited into his/her account based on how much product is sold or how long the student works. In other words, the more effort a student puts into the fundraiser, the more money is put into their account. These fundraisers are a great way for students to pay for “Fair Share”, band trips, private lessons, and band related equipment.

 

In order to use money from your individual account, you need to fill out an INDIVIDUAL ACCOUNT WITHDRAWAL FORM. These forms are available in the band room or you can print one from the band website. All requests to use money from an individual account MUST have the band director’s approval.

 

            Individual Accounts may be used to fund the following band related items:

1.       Fair Share

2.       Spring Trip

3.       Spring Trip spending money

a.       No more than $50.00 per day will be permitted.

4.       Private Lessons

a.       Must provide an invoice from the private teacher.

5.       A new band instrument or band related equipment.

6.       A subscription to SmartMusic.

 

Money in the individual account will always be used to pay down “Fair Share” first before it may be used for anything else.

 

Any money that is left in a student’s account at the end of their senior year will be released into the Band Booster general fund.

 

SCHOLARSHIPS

 

            The Band Boosters understand that all of the band families have a wide array of financial situations. Each student is highly encouraged to participate in as many Individual Account Fundraisers as possible to avoid paying any Fair Share monies out of pocket. However, the Boosters have scholarships available to help families that have difficult financial situations. These scholarships are available to help defray the cost of Fair Share.
